Your Practice Deserves an Operations Partner

We work together to find the level of business support that matches where you are right now, from someone who understands and has been there.

I'm Maddy, a Clinical Social Worker, an Operations Partner, and Private Practice Owner.

With over a decade in clinical practice and healthcare operations, including billing, credentialing, audit-readiness, and HIPAA compliance, I've done this work myself, not just consulted on it. Dual-licensed in Minnesota and Iowa. For five years running, I haven't let a single license, credential, or attestation lapse.

I help you get your practice operations off your plate, so you can focus on clients and stop dreading Mondays.

I want to see you thrive, not just survive in business. I want to see you build a practice that is sustainable and balanced.

Too often, providers in healing professions are expected to overgive, undercharge, and operate inside systems built on hustle, hierarchy, and isolation.

I show up as a partner. You keep full ownership and autonomy. We build something that's collaborative and sustainable, not exhausting. This isn't virtual-assistant support or generic business consulting. It's operation partnership from someone who has run a caseload herself.

This isn't handing off your practice. It's having someone in the room who's actually done the billing, the credentialing, and the compliance, so you stay the decision-making and lose the mental load of doing it all yourself.

FOR PRACTICES JUST GETTING STARTED

STEP-BY-STEP GUIDE: STARTING A PRIVATE PRACTICE

From picking your ideal client and business structure through credentialing, HIPAA-compliant systems, and your practice paperwork, with a timeline tracker so nothing falls through.

FOR PRACTICES ALREADY UP AND RUNNING

THE PRACTICE STABILITY CHECKLIST

Twenty questions across five areas: Financial Rhythm, Referral Stability, Capacity + Hiring Pacing, Operational Flow, and Leadership Grounding. They show you exactly where the foundation is cracking before it becomes a crisis.

No spam, no 12-part email funnel. Just the resource, and occasionally something worth reading.

This is for you if:

  • You're behind on admin, messages, or the "little things" that quietly pile up
  • You're excellent at the clinical work and exhausted by everything else that comes with running a practice
  • You want more time with clients, your family, or yourself, and right now you don't have it
  • You've thought about getting help but worried it means giving up control
  • You want someone who actually understands this work, not just someone who can Google it
  • You're holding everything together, but the cracks are starting to show
  • You're ready to grow (a group, a new offering, a different structure) and you don't have the bandwidth to figure it out alone

The Right Support Depends on Where you Are

Every practice doesn't need the same level of intervention.

Some need light structure and follow-through.

Some need foundational cleanup and system stabilization.

Some are growing and require operational oversight.

And some are ready for executive-level partnership.

That's why my support is tiered.

We work together to choose the level that matches your current stage, and we build the infrastructure that allows you to lead with clarity.

STAGE 1 - JUST GETTING STARTED

Not sure where to start? There's a place for that.

Most practice owners come to me knowing something isn't working, they just can't always name it yet.

The Grounding Session

A targeted deep-dive into one operational challenge in your practice. We identify what's costing you, what's stretching you thin, and what to do about it, with a clear next-step plan you can act on right away.

Best for: Solo providers who feel stuck but aren't ready to commit to an ongoing partnership yet.

$250

/one-time fee with no obligations. Option to opt into a partnership if appropriate.

STAGE 2 - A SPECIFIC SEASON OR PROJECT

The Cocoon Partnership

Maternity or Medical Leave Support.

Your practice keeps running while you're away. Inbox management, client inquiries, scheduling, and light bookkeeping handled with care so you can be fully present wherever you need to be.

$600-$2,000

/per month of leave

Custom quotes available based on practice size and specific coverage needs.

The Alignment Partnership

Best for: Practice owners with a defined project or initiative that needs focused, hands-on support without a long-term retainer commitment.

Something specific needs to happen in your practice. A new service you've been meaning to launch. A systems overhaul that keeps getting pushed. An initiative that finally has your attention but needs more than good intentions to actually land.

We identify the priority together, build the plan, and I help you see it through from start to finish.

$2,500-$5,000

Starting investment reflects project scope and timeline. Custom quotes and payment plans available.

STAGE 3 - ONGOING PARTNERSHIPS

Most clients start at Roots and grow into Meadow as their practice expands. Overlook is for practice owners who are ready for growth into group practice ownership in need of leadership level support.

Root Partnership

Build and stabilize the foundation.

For solo and small practices (1-5 clinicians).

$300

/week

*3-month minimum retainer

You became a therapist to do therapy. Not to chase down outstanding claims, sort through a cluttered EHR, or wonder if your intake process is actually working.

Roots is where we start. We get the back-end of your practice stable and consistent so you can walk into a session without carrying the weight of everything else.

Includes:

  • Quality and Audit Oversight: A full audit of your ledgers, ERAs, EOBs, and aging report in the first month, with a written summary of what I find.
  • Compliance and Credentialing: HIPAA compliance review, documentation standards, and a tracking calendar for every payer enrollment, attestation, and renewal date.
  • Revenue Cycle Management: Denial follow-up, appeals, and recovery on old accounts, plus ongoing billing oversight.
  • Operations and Systems: EHR oversight and organization (SimplePractice, TherapyNotes, etc.), scheduling oversight, and intake inquiry support.
  • Root Cause Analysis: When the same problem keeps coming back, I name the pattern and show you where it starts.

Outcome: Someone has eyes on the back-end so you can just show up and do the clinical work.

Meadow Partnership

Strengthen the ecosystem.

For mid-size practices (6-15 clinicians).

$750

/week

*6-month minimum retainer

You're not solo anymore, or you're getting close. There are more people, more moving pieces, and more ways for things to slip through the cracks.

Meadow adds structure to the growth so it doesn't unravel.

Includes:

  • Everything in Roots, with each skill going deeper:
  • Quality and Audit Oversight: Monthly secondary review of ledgers, claims, and documentation, so errors get caught before a payer catches them.
  • Compliance and Credentialing: License renewal tracking, CAQH and credentialing file maintenance, and payer enrollment assistance for new clinicians.
  • Revenue Cycle Management: Monthly oversight of denials, timely filing, coordination of benefits, and reconciliation, plus budget monitoring and business expense oversight.
  • Operations and Systems: Onboarding support for new clinicians, interns, and practicum students (EHR setup, credentialing files, orientation), practice policies written, maintained, and enforced (informed consent, no-show, telehealth agreements), and business documentation kept current (BAAs, contracts, staff agreements).
  • Root Cause Analysis: I trace recurring problems to the workflow or EHR setting behind them, fix them there, and train your team on the new standard.

Outcome: Your practice can run without you, so you can truly clock out without worry.

Overlook Partnership

Leadership-level guidance.

For mid to large practices (15+ clinicians).

$1,500

/week

*6-month minimum retainer

Running a group practice is a different kind of weight. You carry your clinicians’ caseloads, their credentialing, their questions, and their conflicts, along with financial decisions that affect other people’s livelihoods. Most group practice owners carry all of it without a real strategic partner, which shows up as reactive hiring, delayed growth, and exhaustion that doesn’t go away on vacation.

Overlook is executive partnership. Not administrative support. A working relationship with someone who understands the clinical world you're operating in, carries the operational layer alongside you, and knows your practice well enough to be useful when the decisions are hard.

Includes:

  • Includes everything in Meadow, at full team scale:
  • Quality and Audit Oversight: Secondary review across your whole clinical team, including documentation standards and supervisory billing rules.
  • Compliance and Credentialing: Multi-clinician and multi-payer tracking, plus compliance planning for expansion and new service lines.
  • Revenue Cycle Management: Revenue metrics reviewed with you every month, with fee structure and payer mix decisions.
  • Operations and Systems: Hiring, onboarding, and offboarding support for clinicians and staff, plus referral relationship management (PCPs, schools, EAPs, community partners).
  • Root Cause Analysis: Findings feed directly into your monthly strategy session so decisions rest on real data.
  • Monthly virtual strategy sessions (KPI review, growth planning, decision support).
  • Growth decision support (expansion, new service lines, hiring timelines, fee structures).
  • A thought partner who knows your practice deeply enough to be useful when it matters most.

Outcome: You make the vision decisions. I handle the operational weight of executing them. For the first time, you're not doing both.

Does This Sound Familiar

"I'm fully booked...so why does money still feel stressful?"

You're working hard, but the numbers don't feel clear. You're not fully sure why some months feel tight, whether you can afford to hire, or you're not paying yourself appropriately.

"Every time we grow, something breaks."

You add a clinician or expand availability and suddenly...communication gets fuzzy, billing errors increase, and documentation slips.

"Everything lives in my head."

If you stepped away, things would stall. If you hired, you'd still be the safety net.

"I'm making decisions all day, but never strategically."

Operational decisions. Staffing decisions. Financial decisions. But no clear dashboard. No structured CEO time. No roadmaps. Just constant reacting.

What It Feels Like to Work Together

Working together isn't about handing things off and hoping for the best.

It's having someone in your corner who:

  • helps you think things through before you're already in over your head,
  • keeps things moving behind the scenes so nothing slips,
  • catches what's falling through the cracks before it becomes a crisis.

So you can:

  • close your laptop without a running list of everything you didn't get to,
  • stop being the last one to know when something in the practice goes sideways,
  • actually be present. At dinner. With your family. In your own life.

You've been holding the business by yourself. Let me hold some of it with you.
